Job summary
The Finance Assistants work under the direct supervision of the Finance Director to provide fiscal support, processes invoices for Child Care Works (CCW/subsidy), prepare ACH and checks for payment, and general accounts payable. Finance Assistants hold and demonstrate a strong belief in the mission and vision of Child Care Consultants, Inc. and all of its programs.
Summary of job responsibilities
Processes monthly CCIS provider attendance invoices, invoice adjustments, and payments
Copy, scan, fax, mail and file documents
Attend and participate in monthly agency staff meetings
Provide back-up to other Finance Assistant positions
Work directly with auditors for annual Agency audit
Represent Child Care Consultants, Inc. and its programs at community events
Promote and support the mission, values and goals of Child Care Consultants, Inc. maintaining high performance standards.

Minimum qualifications and experience
Associates degree in Accounting/Computerized Accounting
Two years experience
Experience in non-profit sector strongly preferred

Subsidy Intake and Referral Specialist

The Intake & Community Services Specialist works under the general supervision of the Community Services to provide communication and outreach services for CCC and to perform child care searches using the PELICAN Child Care Works and COMPASS database, and provides parent consultation for community, corporate, and national vendor clients to provide appropriate referrals to all provider types and OCDEL programs to meet the individual needs of the family. The Intake & Community Services Specialist under supervision of the Subsidy Coordinator processes and collects all documents needed to process the new applications and is the main point of contact for all new Child Care Works applicants. The Intake & Community Services Specialist holds and demonstrates a strong belief in the mission and vision of Child Care Consultants, Inc. and its programs.
Summary of job responsibilities
Community Services
Provides consultation to parents on child care options, how to evaluate and select child care services, and child development issues
Conducts computerized child care searches using the PELICAN and COMPASS child care database in accordance with contractual agreements
Follows up with clients via telephone or email regarding referral services and maintain customer satisfaction data through internal and PELICAN follow-up systems
Contacts and provides outreach to clients through the new application process
Conducts referral service presentations on child care options and other early care options weekly to CAO clients and to other groups as needed
Maintains provider information for referrals in PELICAN database by processing provider surveys and provider phone call updates
Assists with advertising and promotion of Child Care Consultants and services.
Provides back-up services to the Receptionist, Reception/Referral Specialist and Helpline position.
Attends and participates in agency staff meeting and appropriate training opportunities
Attends, participates and takes minutes at the Community Services Department Staff meetings and maintains electronic file of meeting minutes
Schedules CCC participation at Visibility and Community events, provides administrative support to ensure adequate coverage at the event, including creating sign-up sheet, sending reminders, coordinating with host organization(s)
Coordinates, gathers materials and represents Child Care Consultants, Inc. and its programs at community visibility events
If bilingual, assists with translations throughout the Community Services Department as needed
Promotes and supports the mission, values and goals of Child Care Consultants, Inc.

Intake Specialist
Prepares new applications and COMPASS applications for eligibility determination in accordance with DHS regulations and procedures
Takes minutes at the Subsidy Staff meetings, distributes minutes, and maintains electronic file of meeting minutes
Completes the mailing process of redeterminations
Provides regular and back-up services for the Receptionist position
Responds to program questions from face-to-face, phone calls, and electronic inquiries
Maintains appropriate documentation in PELICAN CCW database and other spreadsheets

Child Care Consultants (CCC) is committed to helping children, families, and early childhood education programs be successful. We assist low income working families in paying for child care through the Child Care Consultants program, provide educational resources and referral information to families and the community, and provide training, and on-site technical assistance to early childhood education providers to help them improve their program’s quality through Keystone STARS to ensure that every child is successful in school and life. We serve approximately 24,000 children, families, and early childhood education programs annually throughout several counties in PA.
Child Care Consultants, Inc. seeks a self-motivated multitasker and detail oriented person for casework position. The Child Care Consultants (CCC) Subsidy Case Worker works with families in need of assistance to pay for child care to determine eligibility.
Qualifications for the Subsidy Case Worker position include:
- Proficiency in math and computers, including Word, Excel, and databases required.
- Must have excellent communication and customer service skills with a diverse population.
- Experience with DHS CCW regulations and/or the child care delivery system helpful.
- Bilingual preferred.
- Degree in human services or related field strongly preferred.
